Day 5: Measure What Matters: Activating Your Prospecting Tracker

What gets measured, gets managed.

Congratulations on making it to the end of Week 1! You’ve built your mental foundation, set your vision, defined your ideal client, and scheduled your success. The final piece of the foundation is accountability. The only way to know if you’re on track to hit your vision is to measure your daily actions. Today, you will set up the simple tool that will provide you with radical clarity: your Prospecting Tracker.

A tracker is not a tool for judgment; it’s a tool for diagnosis. It’s a simple dashboard that tells you the objective truth about your efforts. If you’re not getting the results you want, the tracker will show you why. Are you not making enough calls? Are you not having enough quality conversations? Are you not asking for appointments? The data will tell the story.

For the CloseDaily system, we focus on a few key leading indicators. These are the activities that directly lead to appointments and, ultimately, closings. Your tracker can be a simple spreadsheet (Google Sheets, Excel) or even a physical notebook. It should have the following columns:

  • Date: The date of your prospecting block.
  • Dials: The number of outbound calls you made.
  • Contacts: The number of people you actually spoke to.
  • Appointments Set: The number of buyer or listing appointments you scheduled.
  • Notes: Any key information from your conversations.

Here’s a real-world example: An agent wants to set 2 appointments a week. After tracking for two weeks, she sees she’s making 200 dials a week, having 20 conversations, but setting 0 appointments. The data tells her the problem isn’t her work ethic (200 dials is a lot of work!); the problem is likely her skill in converting a conversation into an appointment. The tracker tells her she needs to focus on script practice and objection handling, not just ‘making more calls.’ Without the tracker, she would be flying blind, likely just trying to work harder with the same broken strategy.

Your tracker is your business partner. It holds you accountable to your goals and provides the unemotional feedback you need to adapt and improve. It turns your prospecting from a hopeful activity into a predictable, scalable system.
