Using the CRM

CloseDaily CRM Overview

CloseDaily’s built-in CRM is designed specifically for real estate agents. It centralizes your contacts, tracks leads through your pipeline, automates follow-up reminders, and includes full lead source attribution — so you know exactly where every lead came from.

CRM Tabs

Contacts Your master contact list with search, filter, and sort. View all contact details, notes, and activity history.
Pipeline Kanban-style board showing leads moving through stages: New, Contacted, Appointment, Listing, Under Contract, Closed.
Tasks All your follow-ups, callbacks, and to-dos in one place. Filter by due date, priority, and contact.
Calendar Full calendar view showing all your tasks, follow-ups, and appointments. Switch between month, week, and list views.
Team Team lead routing rules, member management, and performance tracking (team leaders only).

Adding Contacts

Click “+ Add Contact” in the CRM tab. Enter the contact’s name, email, phone, and any notes. Select a lead source (Expired, FSBO, Sphere, Website, Referral, Open House, etc.) to categorize them. Contacts are automatically added to your pipeline as “New” leads.

Automatic Lead Capture

Contacts are automatically added to your CRM from multiple sources, each tagged with their origin:

Mailchimp Popup mailchimp_popup Visitors who subscribe via the popup
Lead Magnet Download mailchimp_lead_magnet People who download your lead magnets

Agent Invite agent_invite Agents you invite to the platform
Google Ads google_ads Leads from your Google Ads campaigns (tracked via GCLID)
Facebook Ads facebook_ads Leads from your Facebook/Instagram ads (tracked via FBCLID)
Manual Entry manual Contacts you add by hand

Lead Attribution Tracking

Every contact record includes full attribution data: UTM source, medium, campaign, term, and content. If the lead came from a paid ad, you will also see the Google Click ID (GCLID) or Facebook Click ID (FBCLID), the landing page they first visited, their referring website, the page where they converted, and their device type.
