CloseDaily ("we," "us," or "our") operates the closedaily.com website and the CloseDaily platform, including associated mobile applications (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Service.
By using CloseDaily, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our Service.
2. Information We Collect
Account Information: When you create an account, we collect your name, email address, phone number, brokerage information, and billing details.
Usage Data: We automatically collect information about how you interact with our Service, including pages visited, features used, actions taken, timestamps, device information, IP address, browser type, and referring URLs.
CRM Data: Data you enter into the CRM — contacts, notes, transactions, documents, and communications — is stored on your behalf. You are the data controller for your CRM data; we are the data processor.
Website Visitor Data: When visitors interact with your CloseDaily-powered agent website, we collect their browsing activity, search preferences, registration information, and IP-based geolocation data on your behalf.
Communications: If you contact us for support, we collect the contents of your messages, your email address, and any attachments.
Payment Information: Payment processing is handled by Stripe. We do not store full credit card numbers. Stripe's privacy policy governs payment data.
3. How We Use Your Information

4. Data Sharing & Disclosure
We do not sell your personal information. We may share data with:
- Service Providers: Third-party vendors that help us operate the Service (hosting, email delivery, payment processing, analytics). These providers are bound by data processing agreements.
- MLS/IDX Partners: Listing data is provided by MLS boards under IDX agreements. We comply with all MLS display and data handling requirements.
- Legal Requirements: We may disclose information when required by law, subpoena, court order, or to protect the rights, safety, or property of CloseDaily, our users, or the public.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.
5. Data Retention
We retain your account data for as long as your account is active. After account deletion, we retain backup copies for up to 90 days, after which data is permanently deleted. Billing records may be retained longer as required by tax and accounting regulations.
CRM data you enter (contacts, transactions, documents) is deleted when you delete your account or upon written request. We provide a data export feature so you can download your data before account closure.
6. Data Security
We implement industry-standard security measures including:
- TLS/SSL encryption for all data in transit
- Encryption at rest for sensitive data
- Regular security audits and vulnerability assessments
- Access controls and authentication requirements for employees
- Automated backups with encrypted storage
No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

Our Service is not directed to individuals under 18. We do not knowingly collect personal information from children. If we learn that we have collected data from a child under 18, we will delete it promptly.

14. SocialAgnt — Social Media Scheduling Feature
SocialAgnt is an optional add-on feature inside CloseDaily that lets you schedule, publish, and analyze social media content across the platforms you choose to connect (Instagram, Facebook, Threads, LinkedIn, YouTube, Google Business Profile, TikTok). When you enable SocialAgnt and connect a platform, we collect and store additional data beyond what is described above:
- OAuth authentication tokens issued by each connected platform. Stored encrypted at rest (AES-256-GCM) and used only to perform the actions you direct (scheduling, publishing, pulling analytics) and to refresh access before expiry. Tokens are revoked immediately when you disconnect a platform.
- Account identifiers from each connected platform — your platform user ID, page/channel/business profile ID, account name, and profile picture URL — used to label the connected account in the UI.
- Content you compose in SocialAgnt — captions, hashtags, link previews, scheduling choices, and platform targeting. Retained until you delete the post or close your account.
- Media you upload (images and video). Stored in encrypted object storage at Cloudflare R2 for up to 90 days after publish, then auto-deleted. A low-resolution (150×150) thumbnail is retained indefinitely so the post remains visible in your analytics history.
- Post metadata returned by the platform — permalink, post ID, publish status, timestamps, and platform-reported error messages.
- Analytics pulled from each platform's official API — reach, impressions, engagement counts, follower counts over time, link clicks (where the platform reports them), and post-level performance. We do not collect personally identifying information about people who interacted with your posts beyond what the platform itself publicly reveals (e.g., a public comment author's handle).
- DM and comment content (unified inbox, available in a future release). Only if you opt into the unified inbox feature do we retrieve direct messages and comments sent to your connected accounts. Inbox content is used only to present it to you and (optionally) link it to a CloseDaily CRM contact.
What we do not collect from connected platforms:
- The friends, followers, or contact lists of any connected account
- Private profile data about people other than the account holder
- Financial information from connected platforms
- Biometric or facial recognition data
- Permissions or scopes beyond those required for the publishing and analytics features you turn on
AI content suggestions. SocialAgnt may suggest what to post about using large language models operated by Anthropic and/or OpenAI. When we send a prompt to those models we send only your own post-performance summary, your recent caption history, and your market context. We do not send DM content, individual follower data, or your media files to these models.
Additional subprocessor (SocialAgnt-specific): Cloudflare, Inc. (Cloudflare R2) — encrypted object storage for the media and analytics described above. Cloudflare does not access the content of stored files. The subprocessors listed in Section 8 (Stripe, Telnyx, OpenAI, Anthropic, Google, Meta) also apply to SocialAgnt where relevant.
Retention specifics for SocialAgnt data:
- OAuth tokens — for the life of the connection; revoked on disconnect.
- Post captions and metadata — until you delete the post or close your account.
- Uploaded media — 90 days after publish, then auto-deleted (thumbnail retained for analytics display).
- Analytics time-series — while your account is active; deleted within 30 days of account closure.
- DM/comment content (unified inbox) — 12 months unless you delete sooner.
How to delete SocialAgnt data:
- Disconnect a specific platform at Settings → Connections — deletes the OAuth token and queued posts for that platform.
- Cancel SocialAgnt at Settings → Billing — initiates full deletion of all SocialAgnt-collected data within 30 days. Your underlying CloseDaily account is unaffected.
- Meta-initiated deletion — when you remove the SocialAgnt app from your Facebook account, Meta automatically calls our data-deletion callback at https://app.closedaily.com/socialagnt/data-deletion and we honor it.
- Status lookup — if you receive a SocialAgnt deletion confirmation code, you can check it at https://app.closedaily.com/socialagnt/data-deletion/status.
